I'm surprised you're having trouble, RF isn't my favored supplier, I like VB 
but when i did have dealings with them they were OK.
At any rate the bank card co's. will allow you to deduct the proper ammount 
with a proper explaination and they will pass it along.  I recommend sending 
as much documentation as you have.
