In addition to John's comments you need to remember that any group or
organization sponsoring something like this almost has to have liability
insurance to cover property damage and personal injuries.
If you piggy back your event on an existing one that would take care of that
concern which isn't cheap or easy to obtain on your own for a one time
activity.
